Understand employee statuses

What active, pending, inactive, seasonal, and terminated each mean — and how each one affects whether someone can clock in.

Every employee has a status that controls whether they can clock in and where they show up across the app. You set it when you add someone and can change it anytime by editing their profile. Here's what each one means.

    Active

    The employee is working now. They can clock in and out at the kiosk and appear on the dashboard and in your day-to-day views. Use this for anyone currently on the team.

    Pending

    The employee is set up but not started yet — for example, a new hire who hasn't begun. Use it while you get them ready, then switch to Active on their first day.

  3. 3

    Inactive

    The employee is paused — on leave or not currently working — but you're keeping their profile. When you choose this, a Last Day Worked field appears so you can record when they stopped.

  4. 4

    Seasonal

    The employee works part of the year and is expected to come back. Choosing this shows a Last Day Worked field and an Expected Return Date so you know when to bring them back.

  5. 5

    Terminated

    The employee has left. They can no longer clock in at the kiosk. Choosing this shows a Last Day Worked field to record their final day.

The fast way to end someone's employment

On an employee's profile, the Terminate button sets their status to terminated in one step and stops them from clocking in. You can also set the status to Terminated manually from the Status dropdown.

Only active employees are watched on the dashboard

The dashboard tracks who's working, on break, or hasn't shown up — but only for Active employees with a schedule. Pending, inactive, seasonal, and terminated people won't trigger no-show alerts.
